The Top Five Binding and Presentation Options for Tax Professionals

Tax season has arrived once again which means everyone is scrambling to get their returns filed and those pesky tax bills paid. If you're a tax professional, this is undoubtedly a busy (and stressful) time of year but you still want to keep your client's documents organized and professional-looking. Luckily, that's easy to do. Check out the top binding and presentation options for tax professionals:

Using tax folders is always a popular option. These folders look very professional and they're suitable for both individual and business documents. You can special order these folders and have them imprinted with your pertinent information (name, contact info, logo, etc.). Make sure that there is a business card slot inside the folders so you can distribute your cards with the documents. Best of all, tax folders are usually affordable so you won't need to shell out a bundle to refresh your supply. On the other hand, the one downside to using tax folders is that they're not very secure and documents could possibly fall out of them. You will want to consider this since it may be a deal-breaker. One of the most secure ways to bind any type of document is by using VeloBind strips. Depending on the machine you use, a hot knife will complete the binding process and essentially glue the strips in place, creating a permanent binding. These supplies are suitable for very large documents since some strips can bind work that's up to 750 pages long. The one thing to keep in mind about VeloBinding is that you won't be able to edit the documents after the fact. So make sure your returns and other documents contain everything they need before you warm up the binding machine. Thermal binding is another great option if you are looking for a permanent binding method. One of the great things about this method is that you can use it to create hardcover documents, so it's perfect for highly important forms and returns. Also, thermal binding is quick and easy, and you can typically finish a binding a return or other document in about five minutes. The main problem with thermal binding is that it can be expensive. (Hardcover binding cases themselves are pricey.) But if you want to convey a professional image quickly and easily, the cost is worth it. A lot of businesses choose wire binding simply because it looks great. Wire spines are suitable for shorter tax documents and all you need are some spines and a wire binding machine to get going. You can make your documents look even more professional if you use covers that have been embossed or imprinted with decorative foil. One of the drawbacks to using wire spines is that the spines can be crushed under pressure. Thus, they're not a good choice for documents that will be sent through the mail. (Your best bet for mailed documents is probably going to be tax folders simply because they're less bulky and you won't need to spend a small fortune on postage.) If you want to avoid using tax folders but need an affordable binding method, your best bet is either coil or comb binding. Combs and coils are really affordable and you can get a decent binding machine for not a lot of cash. Also, combs can be re-opened so they're a good choice if you anticipate needing to edit the documents at some point. One of the best things about coils and combs is that they allow a document to lie completely flat so your clients can easily read their documents. Also, coils and combs come in many different colors, so it should be easy to find supplies that complement the covers of your documents.

Those are the top five binding and presentation options for tax professionals. As you now know, each option has its positives and negatives which you will need to consider in order to select the option that's right for your needs. For example, tax folders are a terrific option, especially if you want to watch your costs but still convey a professional image. However, they're not the most secure option which is definitely an issue. When choosing your binding and/or presentation method(s), you will need to consider cost and ease of use among other things.
