The Structure of Presentations

The way that you structure the presentation will affect both the flow and the effectiveness of the result. There is a lot of evidence to show that repetition is actually needed to ensure that people have got the point. Hence the old adage to:

Say what you are going to saySay ItSay what you have said.

Using a structure template

There are a whole host of different ways that you can structure the presentation dependent on what you want to achieve (see the section on audience below). However it can be useful to use a structure template.

Below is a template that you can use which works well in a situation where you want to present an idea or opportunity.

Synopsis - What is the current situation and why does action need to be taken now? Opportunity - What is the opportunity for action and how it could change things for the better? What research needs doing? Method - How will you go about taking action? How will the research be carried out?

Conclusion - What are the decisions that need taking today/near future. Options are:

Do nothing - no changeDo everything - bit scary!Take the first steps now!

Tell them a Story

For centuries stories were the main way to pass on information and knowledge and cultural concepts. Stories are powerful emotion tuggers and help people to remember the content. To start with you need to ask yourself a series of questions.

What do you want to achieve?What will the audience learn from it?What do you want your audience to spontaneously recall?Where is the best place to use your story in the presentation?

People's attention span is short. So using stories at strategic points cannot only be used to create contrast, evoke emotion, explain difficult topics well, but it can also bring people's attention back to your narrative.

Remember, repetition is a key to memory! If you want someone to remember what you have said, you may need to say it more than once. And the more elaborate we encode information at the moment of delivery, the stronger the memory. Most memories disappear within minutes, so the more you can do to strengthen them the longer they will last.
