The Contract in Contract Furniture

Furniture that isn't used in a residential setting is considered contract furniture, and yet there is a little bit of confusion when you see some of the super comfortable pieces that are part of an doctor's waiting room or in a hotel room that you could easily see gracing the bedroom in your own home - in fact so comfortable you wish it would. The other key element in contract furniture is, of course, the contract.

The Contract

Typically, large corporations or entities that need furnishings for their offices or other non-residential needs want to find a company that will provide all their furnishing needs without the hassles of changing terms or not having select pieces available should anything need replacement. Thus, this is where the contract comes into play. They will choose a company that can meet their needs and make a contract with them to provide x number of y style and z number of another kind. They then negotiate terms as to price and delivery and repairs and replacement and enter into a contract to ensure the continued quality of the furnishings at the price they got them for. As with any type of contract, the agreement for contract furniture needs to be thorough and should contain certain key points and answer key questions for the peace of mind of both the company wanting the furniture and the company providing it.

Design and Materials

Who are the designers and what materials are being used? Some industries and countries have specific guidelines for what furniture on contract can be made of. If that is the case, making sure the furniture meets these guidelines is important so as not to fall outside of these stipulations. Specifically including the materials in the contract ensures the company making the furniture cannot change them without notice.


Does the furniture require any special cleaning or maintenance to ensure its longevity, and if so will the furniture company be responsible for this or the contracting company? In addition, what, if any, warranties are in place and what do they cover exactly as well as replacement of deficient furniture?

Delivery and Installation

How and when will delivery be made and who is going to be responsible for places and installing the furniture? It is important to include this so that the outcome is not a bunch of boxes and furniture that are delivered but not anything further unless the contracting company wishes to install or place the furniture themselves.

Length and type of Contract

Is there a specific end of the contract either by date or by number of pieces, and is this acceptable to the company contracting? Some pieces of contract furniture are sold and that is the end of the contract while others, such as furniture provided to a government entity, may be an open contract that covers replacement and stipulates a set price for the length of the contract.


What forms of payment are accepted and what are the payment terms? If this is all specified in the contract there will be no room for misunderstanding.
