Online Fax Services - Is a Scalable Corporate Fax Plan Right For Your Business?

October 17, 2011 | Comments: 0 | Views: 117

In these challenging economic times, one hears a lot about out-sourcing and using third party companies to handle many of your operating business tasks. One area which has drawn a lot of attention is "cloud computing" which is hosting your computer files or services on remote computers away from your main location. Using an Internet or online fax service is one perfect example where companies can both save money and have a more efficient way to send and receive their faxes.

Basically, all your faxing services are out-sourced to a third party for a small monthly fee, usually around $8 to $10. You sign up to one of these fax providers and you're given a local or toll-free fax number which you can use. Your faxes are sent as email attachments using your regular email system. You're also given an online account or interface where you can log in to check and send your faxes. Since your account will be online, you can access it anywhere, anytime - as long as you're connected to the web.

Perhaps, the most attractive part of this form of out-sourcing, most of these online fax providers have custom corporate plans which can be implemented to cover all your business faxing, especially if your faxing volume is high and you need a robust fax service. These providers will design a fax plan specifically engineered to meet all your needs and many will also give you special rates if you do a lot of faxing.

This can be an ideal arrangement, especially when you consider most of these corporate plans can be easily scalable to meet your growing needs. And since there is no extra hardware (fax phone lines or fax machines) to install, all this scalability comes very cheaply. Any company can easily increase or decrease their fax numbers, depending on how your business is growing.

Another area of interest, is the whole issue of fax broadcasting, this is where you send a fax to a large number of clients at once. With fax broadcasting, this can be done with one click. For a company or business which depends upon faxing to advertise or to make sales, this can be a great benefit.

Still, another issue concerns the competitiveness of using an online fax service. You must realize since this way of faxing is not limited to the office setting or even office hours - your faxes are available around the clock, 365 days of the year. Which means your business is open and accessible at all times and in this business climate that may mean your business will be more competitive, especially against companies which are not using online fax.

Choosing one of these fax providers will take some work on your part but there are many well known providers who offer corporate plans such as MyFax. However, don't rule out smaller lesser known fax providers such as MetroFax and Faxage. Some times these smaller companies will provide more attention to their clients than a big multinational companies with countless clients.

So the only question you have to ask yourself, "Is a scalable corporate fax plan right for your business?" It's your call.
