Online Fax Or Virtual PBX - Which One Should I Use?

For many individuals, starting a new company or home business, can be a daunting task. There are so many factors which you have to consider if you want your business to succeed. Chief among these decisions will be your whole communications system - how will your future clients and customers reach your business?

While it is somewhat simplistic to say... we have a phone number and an email address - what's the problem?

Actually, if you run a very simple service from your home, there might not be a problem at all - if you want to keep everything very simple. However, when you're running a business, especially one from your home, you will want to project a "professional image" to your customers or clients. And if you're selling a service or product, the more professional you are in all your dealings, the more successful you will be. That's why you must consider acquiring a fax number and/or a PBX system for your business.

Now these days, you can take the much cheaper option and go virtual. This will not only save you money but it is a much more efficient way to operate your business. In the case of online fax, instead of having a traditional fax machine and a dedicated fax phone line, you sign-up for an online or Internet fax service, where all your faxing is done through your web connection and your email account. You still get your own business toll-free or local fax number, but all your communications are done through the web.

In the case of virtual PBX services, the same thing applies, you get a virtual or online PBX (Private Branch Exchange) service to handle all your business calls. Many of these PBX services have many more features such as voice mail, call-forwarding, online fax and even a virtual receptionist in some cases. Going with this option will also save you time and money, simply because there is no equipment to install and you can be up and running within minutes. Your company's PBX service is hosted on a third party server or host - far removed from the actual location of your business.

So what's the difference between online fax and virtual PBX?

Online fax only deals with sending faxes, while online PBX can entail all your communications - phone calls, voice mail, fax, virtual receptionist and so on.

Which one should I use?

The answer to that question largely depends on the type of business you're running and how important phone calls, faxing, messages... are to the operation of your company? If your business is very small, going with an online fax service or number might be all you need to communicate with your clients. However, if you have different departments or sales staff, going with a full PBX service might be the better option. It will give or project a "big company" image for a fraction of the price you would have to pay for a traditional PBX system.

Regardless of which one you choose, keep in mind, the important word here is virtual. These services are run from the web and directly connected to all your computers, so this is a much more convenient and efficient way to run your business. All your communications will be easy to access, easy to store and very easy to retrieve. Besides, since these are web based services, it also means they are available any where you're located. It also means your business can virtually run or be open 24/7, 365 days of the year.

Proceeding with any one of these options can be seen as a smart business move on your part and one which may prove very beneficial for your company. But like all business decisions, it's your call?
