Internet Fax Service - Is This A Must-Have Service For Every Company?

These days, you hear a lot about online or Internet fax services, but is it really a Must-Have necessity for every company? Can the old traditional fax machine suffice in this modern computer era? All interesting questions and arguments can be made for both forms of faxing, but does having an Internet fax service give your company or business a competitive edge? This is truly the main concern or question which has to be answered here.

Let's start at the beginning, for decades companies have been using a traditional fax machine, usually on a dedicated fax phone line which is installed to receive faxes. For large companies, this could sometimes involve many fax lines and numbers, depending on the number of departments or branches within the company. Some of the major drawbacks or disadvantages: missed calls because of busy signals, messy inks and paper jams, lack of privacy, cost of those phone lines and all those inks and papers. Plus, faxes are usually only received/read during business hours and it is very time-consuming to sort and file your faxes.

Now let's consider the more modern alternative - an Internet fax service. This is paperless faxing so you don't need any messy inks, toners or papers. In most cases, you will have a "never-busy" line so there are no more missed faxes. Since everything can be handled via the web, you don't need to install a dedicated fax phone line. Your faxes can be received and sent at any time, from any location, as long as you're connected to the web. This is a much cheaper way to fax. Plus, everything is in digital or electronic form so your faxes can be easily stored online or on your computer, ready for retrieval.

Next, there's no denying that going with a modern computer fax system does have a few distinct benefits or advantages. One, all your messages are private and can only be viewed by those who have access to your fax account. This will keep sensitive faxes away from prying eyes. In addition, you can send your messages in an encrypted format which is very secure, even if we're talking about using the Internet to send those messages.

Your messages or faxes will be available 24/7, regardless of where you're located, which also means your company or firm is open for business around the clock. If faxing is a vital part of your business then this will definitely give you a competitive advantage. Since this type of faxing uses your email system, you will be able to easily "import" any contact lists into your service and sent a fax to thousands of recipients at the click of the mouse. This "fax broadcasting" feature is a major benefit of using an online service. Remember, these online services are completely scalable, you can easily add more lines if they're needed.

While all these benefits are major pluses, there is also one overriding advantage or benefit which must be considered. Using a web or Internet based service will connect or tie your company into all your computers and the web itself. This is the modern efficient way to do things; relying on computers, smart phones or mobile devices - all connected through the web for easy access, regardless of where you or your employees are located.

However, back to our original question, is this a must-have service for your company? Only you can answer that question but keep in mind, many of your competitors are probably already using an Internet fax service provider. It's your call?
