How Is Online Faxing Different From Email?

How exactly is using an online fax service different from sending an email with a file attached? Actually, there is not much difference, except for one crucial point - associated with your online fax service or account you will have your own fax number. You can use and give out this number like you would any conventional fax number.

Clients and customers can reach your company by faxing this number. Your online provider acts on your behalf to handle/process all your faxes. Once you receive a fax, your provider will send you an email with the message attached, usually in a Tif or Pdf file but there are many more formats one can use. If you want to send a fax to a certain number, you can use your email or you can log into your online account to send your message.

In addition, some providers will have a desktop application which you can use to send/receive your faxes right on your desktop. If you want a "hardcopy" of your file, you simply print it out. You should also know that many providers will let you "port" your current fax number over to their services so there is no disruption in your company's vital communications.

All this is somewhat confusing to many potential users of these online services, mainly because your online account is also connected with an email address. As stated above, you can also receive and send your faxes using your email account. Many providers will also let you connect more than one email address to your number, this can be very convenient if you want different workers/departments in your company to receive the same messages.

Since your start-up costs are next to nil, there's no need for any extra hardware such as purchasing a fax machine or installing a separate phone line, each department/agent can easily have their own number. In this way, using an online or email fax service can be very cost-effective and much more efficient than a traditional system. Keep in mind, this is paperless faxing, so you won't have the ongoing expense of buying all those papers, inks and toners.

Why can't I just use my own email system to send a file?

You can! But you won't be able to send that file to a fax number unless you have an online account or you have a fax modem/program on your computer. In other words, you can send regular emails to each other, but if you want to send faxes, you obviously will need a fax number. That is where these online providers enter the picture and offer an alternative solution. Remember, this is a web based system, so your faxes are available anywhere, any time. It makes all your faxing completely portable.

Should I switch my current fax number over to an online or email fax service?

This is entirely up to you and it is really a business decision. If faxing plays a small role in your company's operations, your current system will probably do. However, if faxing is essential to bringing in sales, clients or doing promotions, then you should look at adding this more modern way of faxing. It will be totally portable, less expensive and it will connect all your faxes to your computers. Just look at it as going from a traditional postal service to email, while we still need the postal service, most of us couldn't imagine running a current business without email. In a similar manner, can your company survive without an online fax service? It's your call.
