Make Friends With Your Bookkeeping

Some people find bookkeeping and accounts really difficult. Others take to it quite naturally. The big thing to conquer first is fear. The second thing to do is get help from a person with some knowledge of accounting - from a friend, from a book or from an online article.

'Doing the books' is one of those chores that is absolutely necessary for anybody hoping to make a success of their business. But we know that the small business owner has so many things to contend with that paperwork very often takes a back seat.

Writing up the numbers is actually painful for some people. Others can do it all right, but they just don't like doing it. This is a pity, because the process of getting the accounts up-to-date is often one of the best ways of reviewing the health and state of the business.

In an odd sort of way it is almost like having a friend nearby whom you can talk to about the way your business is going. I'm sorry if this sounds sad idea - having a cash book as a friend. But try it, and you will see how this works. I like to use pencil and paper. Once the numbers are on the page they talk back at you! Try it.

If your business is small, you can actually keep things very simple. As your business grows, you may want to start a more sophisticated form of bookkeeping. But anyone can start from where they are. Cash coming in on one side and money going out on the other is something that anybody can understand.

Unfortunately, some business owners are seduced into thinking that a software package is the answer. Although there are several excellent software packages, but many of them do far more than you need at the beginning of a business. The effect may be to make you feel even more confused and inadequate about your bookkeeping skills. But once you have mastered the basics through a simple manual system, you will be able to make better use of programs and software.

Business advisers come across people, not always only in start-up situations, who tell them that they are doing very well in their business, but when the cash book is examined, things do not look so good.

The cash book records what has actually come in. So a tradesman may have worked very hard, gained a lot of customers, but not chased up the money owed to him. Far worse is the person who counts his turnover from the work he is hoping to get. Counting the orders can mislead. Invoices sent out to customers can't put food on the table. The cash book is your candid friend who tells you how you are really doing.
